This Privacy Policy explains how Earth Tab LLC (doing business as “Earth Tab,” “we,” “us,” or “our”) collects, uses, and protects information when you use the Earth Tab platform and its business management applications (the “Service”). By using the Service, you agree to the practices described here.

1. Who We Are

Earth Tab is a business management platform that provides inventory management, vendor ordering, invoice processing, and related analytics for businesses and their store locations. The Service may be offered to you on behalf of the company that manages your account (your “Organization”).

2. Information We Collect

Account & profile information

Name, email address, and role within your Organization.
For administrators who sign in with Google: your Google account email, name, and profile picture, as provided by Google during sign-in.
For store users: the username and credentials created for you by your Organization.

Business data you provide

Inventory items, vendors, orders, par levels, invoices, pricing, and related operational records you or your Organization enter or upload.

Google user data (Gmail)

If your Organization enables email-based invoice and order scanning and you grant permission, Earth Tab accesses your Gmail messages through the Gmail API solely to locate and read vendor invoice and order emails so we can extract order details and pricing for your records. We request the minimum Gmail access needed to provide this feature.

Usage & technical information

Log data such as IP address, browser type, pages viewed, and timestamps.
Cookies and similar technologies used to keep you signed in and secure your session.

3. How We Use Information

To provide, operate, and maintain the Service.
To authenticate you and keep your account secure.
To read vendor invoice/order emails (when enabled) and extract order and pricing data into your account.
To generate reports, analytics, and notifications you or your Organization configure.
To respond to support requests and communicate about the Service.
To comply with legal obligations and enforce our Terms of Service.

4. How We Use Google User Data (Limited Use)

Earth Tab’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, in connection with Gmail data accessed through Google APIs:

We only use Gmail data to provide and improve the email invoice/order scanning features you request.
We do not use Gmail data for serving advertisements.
We do not sell Gmail data.
We do not allow humans to read your Gmail data, except: (a) with your explicit consent (for example, to troubleshoot a support issue); (b) where necessary for security purposes such as investigating abuse; (c) to comply with applicable law; or (d) where the data has been aggregated and anonymized.
We only transfer Gmail data to others as necessary to provide or improve the feature, to comply with applicable law, or as part of a merger or acquisition with appropriate notice.

5. How We Share Information

We do not sell your personal information. We may share information:

Within your Organization: administrators and authorized users in your Organization may see data associated with your account and activity.
Service providers: with vendors who process data on our behalf (for example, cloud hosting, email delivery, and AI-based document extraction) under confidentiality and data-protection obligations, and only as needed to operate the Service.
Legal & safety: when required by law, regulation, legal process, or to protect the rights, property, or safety of Earth Tab, our users, or the public.
Business transfers: in connection with a merger, acquisition, or sale of assets, with notice consistent with this policy.

6. Data Retention

We retain information for as long as your account is active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Data extracted from emails (such as order and pricing records) is retained as part of your Organization’s business records until deleted by your Organization or upon account closure.

7. Data Security

We use technical and organizational measures designed to protect your information, including encryption in transit, access controls, hashed credentials, and audit logging. No method of transmission or storage is completely secure, but we work to protect your data and continually improve our safeguards.

8. Your Rights & Choices

Access & correction: you may request access to or correction of your personal information by contacting us.
Deletion: you may request deletion of your personal data by emailing support@earthtab.com, subject to legal and legitimate business retention needs.
Revoke Google access: you can revoke Earth Tab’s access to your Google account at any time at myaccount.google.com/permissions. Revoking access stops future email scanning.

9. Children’s Privacy

The Service is intended for business use and is not directed to children under 16. We do not knowingly collect personal information from children.

10. International Users

We may process and store information in the United States and other countries. By using the Service, you understand your information may be transferred to and processed in locations that may have different data-protection laws than your jurisdiction.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Service after changes become effective constitutes acceptance of the updated policy.
